You'll see these signs to help signal this 00:02:05.389 --> 00:02:09.720 the tick in a blue and red box, shows that something is required; 00:02:09.720 --> 00:02:14.280 the plus sign in a green box, shows that it is optional. 00:02:14.280 --> 00:02:19.200 In this tutorial, making the commitment to assess-and-address is mandatory, 00:02:19.200 --> 00:02:24.140 and so is telling workers or members about this commitment in writing. 00:02:24.140 --> 00:02:29.810 It is part of Core Requirement 5.1.1, and it applies to the management of any 00:02:29.810 --> 00:02:33.880 group, large farm, or individually certified farm. 00:02:33.880 --> 00:02:38.830 But using the template for the commitment or pledge is voluntary. 00:02:38.830 --> 00:02:43.250 We recommend using it, however, because it contains all the information you need 00:02:43.250 --> 00:02:48.160 to meet your requirement to tell workers or members about your commitment in writing. 00:02:48.160 --> 00:02:53.400 And, the process of discussing this Pledge is a great way to ensure that everyone 00:02:53.400 --> 00:02:57.370 in management understands what assess-and-address means in practice. 00:02:57.370 --> 00:03:04.040 If you haven t already found the template, you can do so by going to the 00:03:04.040 --> 00:03:12.090 Rainforest Alliance website: www dot rainforest hyphen alliance dot org. 00:03:12.090 --> 00:03:15.820 You can see the link on the slide highlighted in red. 00:03:15.820 --> 00:03:22.540 Go to the certification documents library and search for Guidance L: Assess and Address. 00:03:22.540 --> 00:03:26.560 You can do that using the search function or using the arrows to scroll through 00:03:26.560 --> 00:03:28.979 you might need to scroll through 2 or 3 times 00:03:28.979 --> 00:03:33.034 because the documents aren't always in alphabetical order. When you open the document, 00:03:33.034 --> 00:03:43.200 go to the Annex at the end of the document to find: Annex: Assess-and-address Pledge . 00:03:43.200 --> 00:03:48.010 You can also find the Pledge in the folder where these training tutorials are kept. 00:03:48.010 --> 00:03:52.900 You can see the link on the screen which is accessible to all certificate holders. 00:03:52.900 --> 00:03:56.850 We created a folder with all the tutorials as well as the materials you ll need for 00:03:56.850 --> 00:04:00.605 training and communication that includes the Pledge, 00:04:00.605 --> 00:04:05.250 as well as posters, and a training flipbook. 00:04:05.250 --> 00:04:09.220 And a few quick housekeeping tips. 00:04:09.220 --> 00:04:13.990 When you open the document you downloaded, go immediately to File in the navigation 00:04:13.990 --> 00:04:19.380 bar at the top left. Click Save As in the drop down. 00:04:19.380 --> 00:04:23.909 You can then choose where to save your file on the computer, so you can keep it safe and 00:04:23.909 --> 00:04:28.330 find it again easily, and you can also rename your file. 00:04:28.330 --> 00:04:31.070 Look at the yellow example on screen you can see here how I have changed 00:04:31.070 --> 00:04:37.419 the name of my file. I have added Coop1 as the name of the farm and 00:04:37.419 --> 00:04:40.680 Jun012021 as the date. 00:04:40.680 --> 00:04:45.510 I find it easier to keep track of all my files when I do this. 00:04:45.510 --> 00:04:49.300 Once you have saved and renamed the file, each time you make a change to it 00:04:49.300 --> 00:04:52.979 you just need to click Save. 00:04:52.979 --> 00:04:56.879 Now let's look at the structure of the document and what it includes. 00:04:56.879 --> 00:05:00.639 You can see we have marked the three main parts of the Pledge: 00:05:00.639 --> 00:05:03.590 First, the commitment to protect human rights 00:05:03.590 --> 00:05:08.120 Second, the commitment to an assess-and-address system 00:05:08.120 --> 00:05:13.490 based on transparency and continuous improvement Third, the commitment to 00:05:13.490 --> 00:05:16.860 implement assess-and-address actions 00:05:16.860 --> 00:05:21.300 We ll look at each one in turn. 00:05:21.300 --> 00:05:24.580 The Pledge includes terms like human rights , transparency 00:05:24.580 --> 00:05:29.159 or continuous improvement which are all important ideas for assess-and-address 00:05:29.159 --> 00:05:34.210 and we are going to explain them now. But because these ideas are so important, 00:05:34.210 --> 00:05:38.370 we also recommend that you gather your team together to discuss the pledge and 00:05:38.370 --> 00:05:41.039 agree the promises you are going to make. 00:05:41.039 --> 00:05:45.430 That could mean just your management team, or you might want to invite other members 00:05:45.430 --> 00:05:48.040 or workers, and especially any people that you 00:05:48.040 --> 00:05:51.680 hope might get involved in assess-and-address. 00:05:51.680 --> 00:05:56.539 Getting together to discuss this Pledge is a useful way to ensure everyone understands 00:05:56.539 --> 00:06:01.819 what assess-and-address means in practice and to prepare them for the work ahead. 00:06:01.819 --> 00:06:05.650 And you might also encourage a few people to volunteer for assess-and-address activities 00:06:05.650 --> 00:06:09.220 too! 00:06:09.220 --> 00:06:13.270 The document is called a pledge or statement of commitment 00:06:13.270 --> 00:06:18.189 it is a promise that you make to protect people and you make that promise to yourselves 00:06:18.189 --> 00:06:23.000 in management, but also to your workers or group members. 00:06:23.000 --> 00:06:28.960 First, you can see a general commitment to uphold and protect human rights and 00:06:28.960 --> 00:06:33.590 you ll notice it specifically mentions the four assess-and-address issues of 00:06:33.590 --> 00:06:40.120 child labor, forced labor, workplace violence and harassment and discrimination. 00:06:40.120 --> 00:06:46.249 And it also mentions gender inequality because these issues are all interlinked. 00:06:46.249 --> 00:06:51.699 Including all five issues means that you can use this single document to make a commitment 00:06:51.699 --> 00:06:59.139 on assess-and-address (Core requirement 5.1.1) and a commitment on gender equality (Core 00:06:59.139 --> 00:07:01.999 requirement 1.6). 00:07:01.999 --> 00:07:08.781 So, what does it mean to protect human rights on a farm or in a business? 00:07:08.781 --> 00:07:13.530 Here are some examples you can use when you gather to discuss this: 00:07:13.530 --> 00:07:16.900 The first example is about helping family farmers 00:07:16.900 --> 00:07:21.740 to identify tasks that are safe and age-appropriate for their children. 00:07:21.740 --> 00:07:25.909 That means, for example, not carrying heavy bags, or using sharp tools, 00:07:25.909 --> 00:07:30.129 or spraying pesticide doing tasks that might hurt them. 00:07:30.129 --> 00:07:32.449 And making sure that when children do help their families 00:07:32.449 --> 00:07:37.620 with light chores on the farm, this doesn t stop them from going to school. 00:07:37.620 --> 00:07:42.919 By helping farmers to understand what tasks children can and cannot do, 00:07:42.919 --> 00:07:48.080 you are helping to protect children from child labor. 00:07:48.080 --> 00:07:54.860 The second example is about making sure everyone men and women - can attend training sessions. 00:07:54.860 --> 00:07:57.349 That means inviting everyone and choosing a place 00:07:57.349 --> 00:08:03.430 to hold training that is safe and easily accessible. By doing this, you will help improve 00:08:03.430 --> 00:08:07.559 men and women s farming skills, which is good for the farm and families, 00:08:07.559 --> 00:08:13.039 and you will be ensuring women and men benefit from the same training opportunities. 00:08:13.039 --> 00:08:19.039 The third example is about responding quickly and fairly to help when any worker or group 00:08:19.039 --> 00:08:24.360 member raises a concern about how they, or someone else, are being treated at work. 00:08:24.360 --> 00:08:28.249 If you are easy to approach, and fair and quick in your response, you can better 00:08:28.249 --> 00:08:29.511 protect people from violence or harassment. 00:08:29.511 --> 00:08:36.110 And the last example is about making sure that no one is being controlled by someone 00:08:36.110 --> 00:08:38.519 who is forcing them to work against their will. 00:08:38.519 --> 00:08:43.930 For example, you could regularly check that workers receive their wages, or ensure that 00:08:43.930 --> 00:08:48.800 if they have a loan, the repayment plan is reasonable, and the worker understands 00:08:48.800 --> 00:08:53.269 and agreed to that plan. Doing this helps to ensure that no worker 00:08:53.269 --> 00:08:56.680 is being forced to work to pay off a debt. 00:08:56.680 --> 00:09:00.149 If you want to learn more about these human rights issues, we recommend you 00:09:00.149 --> 00:09:04.079 contact one of the assess-and-address trainers in your area, or perhaps a local 00:09:04.079 --> 00:09:08.720 NGO or expert, or go online to the Rainforest Alliance website 00:09:08.720 --> 00:09:12.420 where you'll find guidance materials in the certification library, 00:09:12.420 --> 00:09:15.639 and on the Rainforest Alliance Learning Network. 00:09:15.639 --> 00:09:20.880 And remember, once the assess-and-address committee starts working, they will be 00:09:20.880 --> 00:09:27.180 raising awareness about what these issues mean in practice. 00:09:27.180 --> 00:09:31.639 The second commitment you make is to build an assess-and-address system 00:09:31.639 --> 00:09:36.449 that means the principles, people, skills, and actions that, when combined, 00:09:36.449 --> 00:09:40.420 make it possible for you to implement assess-and-address. 00:09:40.420 --> 00:09:45.321 What s special about assess-and-address is that is risk-based - our goal is to 00:09:45.321 --> 00:09:49.660 identify human rights risks so that you can resolve them. 00:09:49.660 --> 00:09:53.720 We want you to know when there are problems, or issues, or risks that could affect 00:09:53.720 --> 00:09:56.930 human rights because the more you know, the more you can 00:09:56.930 --> 00:09:58.770 prevent. 00:09:58.770 --> 00:10:03.990 And to hear about problems or issues first, you need to act in an open and honest 00:10:03.990 --> 00:10:10.149 or transparent manner, about your risks, and about any mistakes made. 00:10:10.149 --> 00:10:15.000 And this transparent approach is possible because the goal of assess-and-address 00:10:15.000 --> 00:10:21.940 is to demonstrate steady, constant improvement. It is not about punishment for mistakes 00:10:21.940 --> 00:10:25.410 but showing that you are learning from them this is continuous improvement. 00:10:25.410 --> 00:10:28.769 Next, we ll look at some practical examples. 00:10:28.769 --> 00:10:35.250 First, let s look at a practical example of how having an assess-and-address system 00:10:35.250 --> 00:10:37.330 helps you to protect human rights. 00:10:37.330 --> 00:10:40.560 Look at the two pictures here. 00:10:40.560 --> 00:10:44.630 Let s imagine that when you conduct your risk assessment, you record that 00:10:44.630 --> 00:10:49.110 children who help on family farms are doing work that is not safe and therefore 00:10:49.110 --> 00:10:52.600 banned. You ve seen them spraying pesticide. 00:10:52.600 --> 00:10:56.250 Because you know this is happening, you can now take action to mitigate it 00:10:56.250 --> 00:11:02.810 and to prevent it from continuing. For example, after making sure the children 00:11:02.810 --> 00:11:06.569 are safe, your solution might involve training the families 00:11:06.569 --> 00:11:10.569 on what safe and age-appropriate tasks children can do 00:11:10.569 --> 00:11:13.670 and explaining how important going to school is for the child 00:11:13.670 --> 00:11:19.300 and the future of the family and farm. By working with the farmers to solve the problem, 00:11:19.300 --> 00:11:23.529 rather than punishing them, you ve helped to solve or reduce the problem. 00:11:23.529 --> 00:11:28.200 And because this is a systematic approach, you ll be monitoring the situation 00:11:28.200 --> 00:11:32.769 to see whether your solution works. That s just one example. 00:11:32.769 --> 00:11:35.730 When you meet to discuss the statement, you could ask your team 00:11:35.730 --> 00:11:39.480 to look at the assess-and-address actions and come up with other examples 00:11:39.480 --> 00:11:44.910 of how each step can help you protect human rights. 00:11:44.910 --> 00:11:47.649 We ve talked about how having an assess-and-address system 00:11:47.649 --> 00:11:50.970 helps protect human rights. But what about these principles 00:11:50.970 --> 00:11:55.870 of transparency and continuous improvement? How do they fit into our example? 00:11:55.870 --> 00:12:01.990 When we talk about transparency, we mean behaving in a clear, open, and honest manner 00:12:01.990 --> 00:12:06.769 and not hiding any mistakes. In the example I just gave, 00:12:06.769 --> 00:12:11.100 not being transparent would mean that when the risk assessment identified children 00:12:11.100 --> 00:12:15.240 spraying pesticide, instead of recording it and taking action 00:12:15.240 --> 00:12:18.819 to address it, we pretended it wasn t happening. 00:12:18.819 --> 00:12:23.060 And because we hid the problem, rather than being open about it, 00:12:23.060 --> 00:12:27.130 no one tried to solve it and so the children carried on spraying pesticide 00:12:27.130 --> 00:12:30.470 - and that means they are being exposed to toxic chemicals. 00:12:30.470 --> 00:12:36.240 Another way to think about transparency is about creating an atmosphere where 00:12:36.240 --> 00:12:40.579 people feel comfortable to tell you when things go wrong. 00:12:40.579 --> 00:12:43.880 If you do this successfully, then you won t need a risk assessment 00:12:43.880 --> 00:12:47.660 to identify if children are spraying pesticide or carrying heavy loads 00:12:47.660 --> 00:12:52.250 someone will already have reported the problem and they will be happy to report it 00:12:52.250 --> 00:12:56.459 because they understand you want to learn from mistakes. 00:12:56.459 --> 00:13:00.170 All farms, groups and businesses face different problems and are at 00:13:00.170 --> 00:13:05.829 different stages of development the point is to work together to resolve problems. 00:13:05.829 --> 00:13:10.320 If you do this, you ll be able to look back after three years and see some clear, 00:13:10.320 --> 00:13:13.620 practical actions you have taken which have improved the situation 00:13:13.620 --> 00:13:20.220 so, for example, as the visual on screen shows, you might have reduced child labor 00:13:20.220 --> 00:13:24.930 by teaching parents about safe, and age-appropriate tasks for children. 00:13:24.930 --> 00:13:31.390 So, your pledge is to build a system to protect human rights, be transparent about 00:13:31.390 --> 00:13:37.670 mistakes, and be proud of your continuous improvement. 00:13:37.670 --> 00:13:41.769 The Pledge is a promise to protect people so it isn t something that can just remain 00:13:41.769 --> 00:13:44.879 on paper you must take action to make it a reality. 00:13:44.879 --> 00:13:51.440 And there s a list of actions in the Pledge that are all key elements of assess-and-address. 00:13:51.440 --> 00:13:55.319 We ve talked about establishing an effective, trusted system 00:13:55.319 --> 00:14:00.430 You re also going to need to put your time and energy into raising awareness and training, 00:14:00.430 --> 00:14:04.720 so that people understand what protecting human rights means. 00:14:04.720 --> 00:14:09.390 And taking the steps outlined in Core Requirement 5.1, such as assessing 00:14:09.390 --> 00:14:15.240 and mitigating risks, remediating violations, and making sure they aren t repeated, 00:14:15.240 --> 00:14:19.410 and setting clear, realistic improvement goals that you can meet. 00:14:19.410 --> 00:14:23.779 And you ll need to engage with stakeholders drawing on the help and expertise of others 00:14:23.779 --> 00:14:27.740 who can help you protect human rights And lastly, you ll need to collect and 00:14:27.740 --> 00:14:30.740 report data on your progress so that you can monitor 00:14:30.740 --> 00:14:33.870 how you improve over time 00:14:33.870 --> 00:14:37.279 If you review Core Requirement 5.1. on assess-and-address, 00:14:37.279 --> 00:14:42.550 you ll find the mandatory steps that you must take to achieve or maintain 00:14:42.550 --> 00:14:45.630 certification. To find the steps you must take on 00:14:45.630 --> 00:14:50.899 gender equality, go to section 1.6. And to find the steps required to 00:14:50.899 --> 00:14:55.560 handle grievances, go to section 1.5. 00:14:55.560 --> 00:14:57.310 Now back to the template. 00:14:57.310 --> 00:15:00.940 Remember, it is optional, and you are free to adjust and adapt 00:15:00.940 --> 00:15:05.910 the language to suit your own circumstances. For example, you might have other commitments 00:15:05.910 --> 00:15:10.100 you want to include, perhaps to align with the codes of conduct of other buyers 00:15:10.100 --> 00:15:14.839 or suppliers with whom you already do business, or other certification standards. 00:15:14.839 --> 00:15:20.670 It can be useful to include all your commitments on human rights in one document, 00:15:20.670 --> 00:15:23.630 because it will be easier to keep track of what you need to do. 00:15:23.630 --> 00:15:27.949 And you can more easily show this document to an inspector or auditor. 00:15:27.949 --> 00:15:32.899 Just remember if you edit the document, not to remove the core Rainforest Alliance 00:15:32.899 --> 00:15:37.639 commitments as they are mandatory for certification. 00:15:37.639 --> 00:15:42.329 Once you are happy with the Pledge, the easy part is completing the template. 00:15:42.329 --> 00:15:47.050 Fill in the name and address of your organisation. Don t forget, to use the same name that 00:15:47.050 --> 00:15:49.829 you do for Rainforest Alliance registration. 00:15:49.829 --> 00:15:52.000 Lastly, find the section at the end of the document 00:15:52.000 --> 00:15:54.720 where you sign and date the document. 00:15:54.720 --> 00:15:57.879 It is up to you to decide who signs and who is accountable 00:15:57.879 --> 00:16:01.759 for this statement it could be the owner or manager of the farm, 00:16:01.759 --> 00:16:05.170 group or business, or the management representative 00:16:05.170 --> 00:16:08.560 responsible for assess-and-address. 00:16:08.560 --> 00:16:11.490 Sign and date the document and include the name of your 00:16:11.490 --> 00:16:14.139 business and email and phone number. 00:16:14.139 --> 00:16:19.880 Last, but not least, you must tell people about your commitment. 00:16:19.880 --> 00:16:23.139 Remember, it is mandatory in assess-and-address to inform 00:16:23.139 --> 00:16:27.009 workers or group members in writing that child labor, 00:16:27.009 --> 00:16:30.930 forced labor, discrimination and workplace violence and harassment 00:16:30.930 --> 00:16:35.699 are not tolerated, and that management has a system in place to 00:16:35.699 --> 00:16:39.990 assess-and-address related cases. And this information must always be 00:16:39.990 --> 00:16:43.589 displayed at central locations. 00:16:43.589 --> 00:16:48.560 The Pledge contains all this information. The challenge is how you tell your workers 00:16:48.560 --> 00:16:54.079 or group members about it, and this will depend on your own circumstances. 00:16:54.079 --> 00:16:57.560 One option is to find a spot that is busy and frequented, 00:16:57.560 --> 00:17:01.760 like a noticeboard, and post a copy of your written statement there. 00:17:01.760 --> 00:17:04.870 This can be easier for businesses or large farms, 00:17:04.870 --> 00:17:07.910 but more difficult for groups which are more dispersed. 00:17:07.910 --> 00:17:12.199 You could distribute the Pledge in other materials that you share with your members. 00:17:12.199 --> 00:17:16.819 But some workers or members might not be able to read or may not fully understand 00:17:16.819 --> 00:17:21.159 the Pledge and the commitments you are making. So you ll need to think of other ways to spread 00:17:21.159 --> 00:17:24.470 the word and raise awareness, like attending community 00:17:24.470 --> 00:17:28.809 meetings, and talking to workers or members individually. 00:17:28.809 --> 00:17:32.580 Making the effort now to explain the promises you have made will really help 00:17:32.580 --> 00:17:36.580 when you set up your committee because hopefully, you will have encouraged 00:17:36.580 --> 00:17:44.710 some responsible and enthusiastic people to volunteer and come forward as candidates. 00:17:44.710 --> 00:17:48.430 Rainforest Alliance has also developed a set of posters that use pictures to 00:17:48.430 --> 00:17:51.020 explain the human rights commitment. 00:17:51.020 --> 00:17:54.700 This shows you some examples of the posters we have developed 00:17:54.700 --> 00:17:58.380 you can find them in the same folders as these tutorials . 00:17:58.380 --> 00:18:02.460 There are posters like the one on the screen about all human rights abuses, 00:18:02.460 --> 00:18:07.500 or about each type of human rights abuse (e.g. child labor) and about how to report 00:18:07.500 --> 00:18:09.919 a concern. 00:18:09.919 --> 00:18:14.210 Just a reminder, this is just the first step in communicating about assess-and-address 00:18:14.210 --> 00:18:18.460 - it is an ongoing task to ensure your whole farm, 00:18:18.460 --> 00:18:23.340 group or business understands this commitment and what it means in practice. 00:18:23.340 --> 00:18:27.480 But obviously, once you ve set up the assess-and-address committee, 00:18:27.480 --> 00:18:31.110 they ll be responsible for most of this communication activity. 00:18:31.110 --> 00:18:37.200 And we discuss this again in Tutorial 4. 00:18:37.200 --> 00:18:40.549 Before we finish, here s a reminder of the steps you must take to 00:18:40.549 --> 00:18:46.230 demonstrate compliance with this part of Core Requirement 5.1.1. 00:18:46.230 --> 00:18:49.860 You should be able to demonstrate that: Management has made a commitment 00:18:49.860 --> 00:18:54.870 to assess-and-address child labor, forced labor, discrimination 00:18:54.870 --> 00:19:00.000 and workplace violence and harassment You display in a location visible to workers 00:19:00.000 --> 00:19:04.520 and group members a poster or notice explaining that: 00:19:04.520 --> 00:19:09.470 Human rights violations are not tolerated Management has an assess-and-address system 00:19:09.470 --> 00:19:11.840 to deal with any cases of violations 00:19:11.840 --> 00:19:18.929 Congratulations! You have just completed Tutorial 1 in the step-by-step tutorials 00:19:18.929 --> 00:19:21.029 for Core Requirement 5.1.1. 00:19:21.029 --> 00:19:24.750 When you are ready, please go to Tutorial 2, 00:19:24.750 --> 00:19:28.980 and we will be talking about how to set up your Assess-and-address Committee. 00:19:28.980 --> 00:19:31.299 Thank you very much and good-bye.
